Pediatric Medical Experts offers medical legal case reviews, providing attorneys the guidance and expertise needed to navigate an ever-changing healthcare environment. We are currently seeking experienced Executive Secretary to the Director.


The Executive Secretary is responsible for clerical and administrative tasks while supporting the daily routine of the Director. Duties include proofreading documents; compiling medical charts and court documents; taking notes and recording meetings; providing reliable and accurate support while working with confidential information; organizing information and generating reference tools for easy use; taking dictation and writing professional correspondence. Specific knowledge of medical terminology, hospital, clinic, or laboratory procedures is desired but not mandatory. Applicants should possess office coordination skills and exhibit excellent time management.


The Executive Secretary performs many administrative support, organizational and customer service tasks to ensure the Medical Director has all the resources needed. Responsibilities include:

  • Managing multiple or complex calendars for meetings, travel and personal commitments
  • Assisting with travel arrangements Sitting in on meetings to take minutes Creating memos, reports and agendas as needed
  • Negotiating with suppliers and vendors to gather quotes, order supplies and maintain office inventory
  • Preparing letters, time sheets, and statements
  • Disseminating memos, reports and other information to relevant colleagues
  • Daily record keeping and filing of documents
  • Operating and maintaining office equipment
  • Degree in business administration (desirable)
  • Certificate in business administration or related (desirable)
  • 2 years of experience in an executive support role preferred but not required
  • Methodical thinker with detailed research proficiencies
  • Thorough understanding of clerical and secretarial principles
  • Strong knowledge of databases and tracking systems
  • Fantastic organizational skills and detail-oriented
  • Ability to work under pressure and meet deadlines
  • Brilliant written and verbal communication skills
  • Proficient in Microsoft Office, and business communication software
  • Proficient in Adobe Acrobat Pro, Bates Stamping and Indexing
